Accounts Assistant
IGBC is seeking a highly organized and proactive experienced accounts professional with account, financial and general business skills to join our team.
Reporting to the CEO and working closely with the external part time CFO and office manager, this role will be responsible for providing comprehensive financial and administrative assistance in the preparation of monthly management accounts and end of year accounts. They will provide financial reporting support on up to 20 different projects, funded by different grant providers, each with unique reporting requirements.
As it is a small organisation (20 employees) the prospective employee will be expected to contribute beyond their core skills in certain areas as outlined in key responsibilities.
Key Responsibilities:
Accounts Preparation
- Assist in the preparation of annual budgets, forecasts, and financial reports for the Board of IGBC, in both trial balance and cashflow format, working with the external CFO.
- Assist the CEO in the preparation of the strategic planning, annual budget and 3-year financial projections.
- Process invoices including for membership, expense claims, and payments in accordance with organizational policies and procedures.
- Maintain accurate financial records, including accounts payable, accounts receivable, and general ledger entries in Sage.
- Liaise closely with external CFO, accountant and auditor.
- Understanding of VAT calculation and preparation.
- Maintain management accounts and ensure these are closed out at the end of each month.
Financial reporting on projects
- Collate project personnel timesheets from timesheet software, update each project finance spreadsheet each month with justified expenditure calculations.
- liaise with project staff on budgets and expenditures, highlighting any variances to projections made for project over spending or underspending within the stages of project or issues for review.
- Preparation of Financial Reports for National and European funded projects, in coordination with the project managers.
- Maintain organized filing systems for financial and administrative documents for auditing purposes.
Qualifications and Skills:
- Bachelor’s degree in accounting, Finance, Business Administration, or a related field is preferred.
- Minimum 3 years relevant experience in accounts, administration, or a financial support role is required *Preference will be given to candidates with accounts experience within a non-profit or project-based environment.
- Proficiency in financial management software (e.g., Sage) and Microsoft Office Suite (Excel, Word, PowerPoint) *Must be highly proficient in Excel for project reporting.
- A clear understanding of accrual accounting is essential, as opposed to cash-based accounting, as most of the organisation’s income is either membership or grant funding.
- Strong analytical and problem-solving skills, with strong attention to detail and accuracy.
- Excellent organizational and time management abilities, with the capacity to prioritize tasks and meet deadlines.
- Effective communication and interpersonal skills, with the ability to work collaboratively in a team environment.
