About the Role


Background: 
The Irish Hospice Foundation’s (IHF) bereavement support work includes networks for bereavement care providers, the development and dissemination of bereavement resources and a dedicated website www.bereaved.ie. We host and run a part-time Royal College of Surgeons in Ireland (RCSI) MSc Loss and Bereavement and Professional Certificate in Children and Loss (PCCL).  IHF also run an annual Series of Workshops on Loss and Bereavement. 

The education administrator plays a crucial role in ensuring the smooth functioning of these offerings by supporting students throughout their academic and training journeys and nurturing good working relationships with RCSI staff and all Module Co-Ordinator’s and lecturers on the master’s programmes which have been developed and nurtured over the years.

Job Purpose: 
Work closely with the programme director to ensure consistent high-quality delivery of MSc Loss & Bereavement. Develop a thorough understanding of MSc programmes, regulations, process and policies in order to provide accurate information to students, Module Co-ordinators and lecturers throughout the year. Oversee and conduct the day-to-day activities associated with the master’s programme.

Please note the start date for this role will be the late October 2024.

Salary: €28,518 - €33,551

Contract Type: Permanent Full Time (37 hours a week) 
Job Location: Our offices are based on Nassau St., Dublin 2. We have a hybrid work model in place (a minimum requirement of 2 days a week in the office). 
Reporting to: Programme Director MSc

Responsibilities:
Recruitment and marketing 
•    Organise open evening event.  
•    Collaborate with marketing and communication team to promote MSc programmes. 
Applicant and student data management and relationships  
•    Be the first point of contact for potential applicants, and manage communication with enrolled students to provide information and support throughout their studies. 
•    Manage student enrollment processes, including admissions, registrations and leave of absences/withdrawal of students to this programme which includes set-up of online application form on Quercus and taking applicants through Quercus workflow up to registration. 
•    Manage student data using RCSI Quercus system from application through to grade management and generation of transcripts for examination and awards boards.  
Course administration 
•    Organise the timetable including room booking and liaising with lecturers.
•    Compile course schedule and course handbook comprising all guidelines and regulations. 
•    Manage invoicing process for payments in and payments out associated with MSc programme. 
•    Administer the Module Co-ordinator’s and lecturer’s content, powerpoint presentations and handouts for the Virtual Learning Environment (Moodle) for MSc. 
•    Ensure assignments are issued for grading and returned by deadline.
•    Preparation of assignments and materials to Module Co-ordinators, Programme Director and External Examiner.  
•    Organise the internal committee functions associated with this course including liaising with the External Examiner and Examinations Boards.
•    Act as committee secretary for Class Representative Committee, and Exam Board Meetings and Education Training Subcommittee. 
•    Work collaboratively with staff in RCSI registry and Quercus team. Providing support at Conferring at RCSI and to be a visible presence for MSc students.  
•    Attend and participate in RCSI meetings. 
•    Collate and report annual data and module and course evaluation data.
•    Ensure compliance with data protection and privacy policies.


Other duties
•    Support the IHF main telephone reception function as required.
•    Any other tasks as may be assigned by the manager or designated person.

Qualifications and Experience
IHF is open to applications from candidates who have experience in most but not all of the following areas. The successful candidate will be supported through their induction to increase their knowledge and ability to deliver on the responsibilities outlined here. Further training and ongoing support will be available.
Essential: 
•    Minimum of two years' experience in a similar role.
•     Excellent IT skills including MS Office and virtual platforms such as Teams and  Zoom 
•    Excellent interpersonal skills and the ability to work as a pro- active, efficient and helpful team player in a busy work environment  
•    Excellent written skills 
•    Sensitivity to others and  self-insight for working in bereavement related area 
•    Flexibility – the role will require working seven Saturdays per annum 
•    Commitment to and understanding of the role of education in promoting change 
•    The ability to work as an active, efficient and helpful team player in a busy work environment  

Desirable: 
•    Previous experience of working in higher education.
•    Experience with specialised education administration systems (eg Quercus and Moodle).

Pension  -   As a member you will be required to make a pension contribution of 5% on your gross annual salary. IHF will contribute 10% on your behalf to a company contributory pension scheme.
