Administrative Assistant

Sister Sheds is recruiting for an Administrative Assistant to support the CEO and Managing Director.

About the Role

We are looking for an Administrative Assistant to support the CEO and Managing Director. They will also work closely with the Chairperson and Governing Body. This is a voluntary role with a term of 1-year with average time commitment per month of 10 - 12 hours.

General Duties

  • Inputs and updates information in databases and spreadsheets.
  • To assist with accurate input of financial data (invoices, expenses etc.) be able to provide an analysis of same.
  • Coordinating cleaning and maintenance, including room booking management.
  • Photocopying, filing, correspondence, post and typing.
  • Maintains office equipment, including printers, copiers, and fax machines.
  • Look after other key organisational documents.
  • Manage the procurement of office supplies and stationery.
  • Ensures that deadlines are met and adapts to changing priorities.
  • To maintain complete confidentiality regarding clients of the region and other information when required.
  • To adhere to all policies and procedures of the organisation. 

Communication

  • Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
  • Responds to emails and other digital queries and correspondence.

Governing Body

  • Manages calendars for senior staff, including making travel arrangements.
  • To assist with accurate input of financial data (invoices, receipts, expenses etc.) be able to provide an analysis of same.
  • Deal with CEO and Managing Director correspondence.

Essential Experience, Skills and Personal Qualities

  • The ideal candidate will have at least three years’ experience in a similar role and educated to leaving certificate or equivalent level.
  • A team player with excellent communication skills and knowledge and experience of the disability sector are a distinct advantage.
  • Excellent organisational and administrative skills.
  • Excellent communication and interpersonal skills.
  • A good eye for detail.
  • Familiarity with charity, governance and compliance.
  • Typing/data entry skills essential.
  • Understanding of Community Relations and General Data Protection Regulations. 
  • Ability to work well with the Chairperson.
