Alumni Relations Executive

We are recruiting an Alumni Relations Executive to engage with Trinity College Dublin's global alumni community. 

Post Title:           Alumni Relations Executive 

Contract:             Full-time; One year maternity leave cover

Salary:                  Executive Grade €33 – 40k, commensurate with experience  

Location:             Dublin; Hybrid role

Start date:          December start date desirable

To help us deliver on this vision, we are recruiting an Alumni Relations Executive to engage with Trinity’s 130,000-global alumni community. If you are a confident communicator with excellent communication skills, organised and detail oriented, and enjoy building relationships with people from a wide range of backgrounds, this role may be for you.  

As the Alumni Relations Executive you will work with the Alumni Relations team and colleagues across TDA to deliver a comprehensive suite of alumni relations and student engagement programmes. You will assist and participate in activities such as events, webinars, mentoring programmes, and volunteer activity. You will also take ownership of specific projects ensuring they are managed efficiently and delivered on time.  Each day will bring something new as you will work with colleagues to deliver purposeful alumni engagement programmes. 

Experience in the university sector is not necessary as our professional team will guide and assist the right candidate as they develop their skills and their knowledge of alumni engagement. Candidates with knowledge experience in client-facing roles, or customer relationship marketing, aligned with the skills detailed below, would be suitable for this role and encouraged to apply.

 

Key Responsibilities 

The responsibilities specified below are not intended to be exclusive or restrictive and flexibility in the allocation of specific duties will be required. 

Alumni Engagement 

  • Contribute to the to the development and delivery of alumni volunteer and student engagement programmes. 
  • Provide quality assistance for alumni engagement activities, particularly for affinity groups, and work closely with events team to deliver key alumni events.
  • Answer alumni queries and provide information on benefits & services offered to our alumni.
  • Update our alumni database and draft communications to alumni groups.
  • Provide administrative assistance for the Alumni Relations team as required.

Project Management

  • Manage the alumni book club, Inspiring Reads, including planning administration, and organizing in- person activities.
  • Manage the day-to-day activities of alumni online platforms Trinity Alumni Online and Inspiring Reads.
  • Work with alumni affinity groups to drive engagement, promote activities, and foster a stronger sense of community within the alumni network.
  • Manage engagement with Trinity Sports and alumni from the sports community, leveraging these relationships to enhance overall alumni relations.

Other Duties 

  • Plan, record, measure and report on activity as agreed by line manager.
  • Attendance at evening and/or weekend events will be required on occasion. 
  • Undertake other duties as may be assigned from time to time by line manager.

Key Relationships 

You will be expected to engage proactively with a wide range of stakeholders including TDA colleagues, academics and Trinity personnel and external stakeholders such as donors, alumni, volunteers and friends of the university.

 

Person Specification

  • Excellent communication skills with an ability to foster good working relationships with colleagues and volunteer groups.
  • Strong communication skills  that can be adapted for a range of purposes and audiences.
  • A professionalism, patient, and “people-first” attitude. 
  • Diligent, organised with close attention to detail. 
  • Motivated, flexible with an ability to use initiative in a busy working environment.
  • Ability to take direction and work collaboratively to help other team members achieve their goals, while also being capable of independently managing and heading up your own projects.
  • An appetite to pursue professional development and upskilling.

 

Qualifications and Experience

  • Minimum of three-years working experience in client facing roles such as marketing, events, sales.
  • Appropriate professional qualifications. 
  • Experience delivering a high standard of customer care to internal and external stakeholders.
  • Proficient with MS Office packages. 
  • Experience of marketing and communication tools such as (Mailchimp, TypeForm) is desirable.
  • Experience with customer relationship management databases would be advantageous.

Professional Development 

Your continued professional development is important to us, and you will be expected to take an active part in your training and development activities. Training will depend on your experience and may consist of a blend of on-the-job training and participation in externally delivered programmes. You will be encouraged to participate in training and conferences delivered by CASE, Charities Institute Ireland and The Wheel among others.
